Once we approve a bid internally, our executive director and event team determine our operational costs and respond with initial terms and a price. A few phone calls, some negotiation, a couple of contract revisions, and the bid goes from consideration to execution. For every unique event, foresight, multi- tasking, prioritization, and preparation allow us to plan and execute multiple events. Early tasks after a bid is won are event marketing and promotion. With media releases and alerts, sponsor notices, social media, partner connections, e-newsletters, and timely website updates, we encourage event participation (players and spectators) and increase our chances for media coverage. Besides promotion, we prepare back-up plans that are individual to each event, based on size, time of year, weather forecast, team travel schedules, etc. As our soccer park staff likes to say, "Mother Nature always wins." Depending on the circumstances, we have had to reduce the size of events, as well as shorten them while in progress.
